An efficient system to manage and automate user access requests for specific Business Units within Freshservice, replacing manual email and Excel-based processes.
Problem Statement
The ColPal team needed an efficient system to manage user access requests for specific Business Units. Previously, requests were received via email, recorded in Excel sheets, and manually processed, leading to delays and potential inaccuracies.
Solution & Implementation
To streamline this process, I led a team to develop a custom application within Freshservice. This application automates the user access request process by allowing users to raise tickets directly in Freshservice.
• Automated Ticket Creation: The system creates child tickets based on user roles and Business Unit.
• Approval Workflow: Integrated approval requests sent automatically to the responsible management team.
• Middleware Integration: Upon approval, the system triggers ColPal's middleware to add the user to the specified Business Unit with the appropriate roles.
Outcome
The project successfully reduced manual efforts, improved accuracy, and accelerated the approval process for user access management within the organization, providing a much more scalable solution.
